Petty cash and cheque encashment

A School can set up a cheque cashing facility at a nominated Westpac branch to make petty cash withdrawals. To establish a new facility, or to change the branch where this facility is established, please follow the steps below:

Setting up a new cheque cashing facility at a Westpac branch

  • Print off and complete the Cheque Cashing Authority service agreement
  • Print off and complete the Cheque Cashing Authority request

No confirmation is provided to the school.  Please allow for a minimum of 5 working days for the facility to be established at the branch.

Changing the branch where the cheque cashing facility is required

Send us a letter on school letterhead requesting us to move the Cheque Cashing Authority from the current branch to the new Westpac branch (providing names/address of the branches).

Is there a limit on the Cheque cashing facility?

When the facility is established a limit and frequency is recorded at the nominated Westpac branch.  Branches will only be able to cash cheques within these parameters.  Should you need to exceed this limit, you need to apply for an increased limit.  This can be done by following these steps:

Print off and complete the Cheque Cashing Authority request (PDF 106KB). Please note on the form this is an "Increase to existing limit".

Requirements for Cashing a Petty Cash cheque

Opening the cheque

  • Make the cheque payable to the person presenting the cheque
  • Complete the cheque in the usual way with the required signatories
  • Open cheque by writing “Please pay cash” on the front of the cheque at the top and get signatories to sign next to this.  If two signatories are required to sign the cheque then both are required to sign next to “Please pay cash”.  Initials will not be accepted.

Cashing the cheque

  • The PAYEE must cash the cheque personally.
  • The cheque must be cashed at the nominated Westpac Branch.
  • The PAYEE must produce two forms of identification, including one form of photo identification.
